Providing guests with a seamless, safe, and modern experience is essential for businesses in the hospitality sector. During and after the pandemic, managing guest density in shared spaces became a top priority for hotels. When a hospitality enterprise running hotels and motels needed to modernize their service booking flow, they partnered with MOHA Software. Our team successfully designed, built, and launched a real-time hotel occupancy and booking system within a strict four-month timeline.

Project Overview
This project was built for a hospitality company operating a network of hotels and motels looking to digitalize their guest services and space management. To deliver an ultra-responsive, stable, and highly available application, we developed a system using Laravel for the backend, Vue.js for the dynamic frontend, and MySQL for database management. The entire infrastructure was hosted on Amazon Web Services and integrated with physical beacon hardware and the LINE messaging app. This comprehensive platform was delivered for an initial development cost of eight million Japanese Yen, with an ongoing monthly maintenance fee of five hundred thousand Japanese Yen.
The Challenges
Our client faced critical operational bottlenecks during a period when health, safety, and crowd control were vital to maintaining guest trust. Guests were highly concerned about large crowds in shared hotel amenities, such as restaurants, spas, and bars, and wanted to avoid busy hours. However, there was no way for guests to know how crowded these areas were without physically visiting them.
Furthermore, there was a complete disconnect between real-time tracking and online booking, meaning guests could not easily reserve a spot based on actual, live occupancy. To solve this, the client needed a system that could gather continuous data from various sections of the hotel and display it instantly, without any delays or system crashes, to thousands of concurrent users.
Our Technical Solutions
To address these challenges, MOHA Software designed an end-to-end IoT and cloud solution that connects physical hotel spaces with a user-friendly digital interface. We started by deploying a network of Bluetooth beacon devices throughout the hotels, especially in high-traffic zones like restaurants, gym areas, and spas. These beacons track guest movement patterns and density by detecting mobile signals, sending raw spatial data to our backend servers without compromising individual guest privacy.
For the backend, we utilized Laravel PHP paired with a robust MySQL database. This backend acts as the central engine, processing live location data from the beacons, matching it against active service bookings, and keeping all operations in perfect sync. To handle high volumes of concurrent read and write operations from multiple hotel areas, we hosted the entire application on Amazon Web Services, ensuring absolute system reliability, high scalability, and zero downtime.
To present this live data to guests in an attractive and simple way, we built the user interface using JavaScript and Vue.js. This allowed us to create a real-time dashboard that updates instantly as people enter or leave different hotel areas. Guests can access this dashboard directly through the hotel website or through an integrated LINE App mini-program, making it incredibly convenient for them to check occupancy levels on their phones and book services immediately.
The Results and Future Upgrades
The deployment of our real-time platform brought immediate operational improvements and transformed the guest experience. Hotel guests can now easily check live occupancy levels and make informed, safe, and convenient decisions about when to visit the restaurant, book a spa session, or go to the bar. This seamless process significantly increased guest satisfaction, especially for those prioritizing safety and convenience in the post-pandemic era.
From an operational standpoint, hotel managers gained full control over crowd flow, allowing them to optimize staffing and resource allocation across different departments. This project marked a major step forward in digitizing traditional hospitality workflows. Looking ahead, there is great potential to upgrade the system by adding an AI-powered Chatbot inside the LINE interface to help guests book services, check room availability, and request amenities automatically.
