Project Overview
This project was developed for an overseas labor dispatch enterprise that connects domestic workers with international employment opportunities and brokers, particularly in markets like Taiwan. To build a secure, real-time internal platform that replaced all legacy spreadsheet workflows, we designed a custom web application with advanced template automation and automated background alerting. The development was completed within a strict four-month timeline with an initial investment of eight million Japanese Yen and an ongoing monthly maintenance contract of five hundred thousand Japanese Yen.
The Challenges
Before partnering with MOHA Software, the client managed all candidates, deployment projects, service fees, and flight schedules using disconnected Excel files. This manual approach created several critical issues across their business. First, data was completely out of sync between departments, leading to constant communication errors and double-entry. Second, staff spent hours manually creating custom Word and Excel templates for various Taiwanese brokers, which slowed down the submission process.
Even more risky was the lack of an active warning system, meaning the agency often missed when a candidate or partner document was about to expire, breaking the entire recruitment pipeline. Furthermore, as the agency expanded its network of brokers and candidates, the legacy spreadsheet system simply could not scale. Finally, once the workers boarded their flights, the client lost tracking control, making it difficult to monitor them during their three-year contract period abroad as required by company policy.
Our Technical Solutions
To resolve these administrative bottlenecks, MOHA Software built a centralized, real-time web application designed to act as the single source of truth for the entire company. We structured the platform so that every user, regardless of their role, accesses the same absolute layout, default filters, and active tabs. To ensure strict data privacy, we implemented a sophisticated two-layer authorization system where the first layer controls functional access and the second layer defines the specific scope of data a user is allowed to view.
To eliminate the manual paperwork load, we engineered a dynamic template engine. Admin users can upload standard document templates in Microsoft Word or Excel formats directly into the system. The platform automatically detects the data fields within these files, allowing staff members to simply select a project and a broker to instantly download completed, pre-filled documents for submission, supporting an unlimited number of custom broker templates.
To prevent pipeline disruptions, we built an automated daily scanning service that runs in the background. The system automatically inspects all candidate records, partner contracts, and visa files for upcoming expiration dates. Whenever an issue is detected, the system displays an active alert directly on the KPI cards of the respective module dashboard and automatically dispatches a consolidated summary email to the responsible staff member.
Lastly, to address post-flight management, we created a dedicated tracking module. This feature allows the agency to monitor and record the status of workers for up to three years after their arrival in the destination country. This ensures full compliance with company policies and keeps a complete history of the worker’s employment journey.
The Results and Compliance Success
The introduction of the custom management system brought immediate, measurable improvements to the client’s business operations. Manual data entry time was slashed by approximately fifty percent, and the time required to generate broker-specific submission templates was reduced by eighty percent. The automated scanning system successfully prevented any occurrences of expired documents, keeping the recruitment pipeline moving without delay.
Additionally, the centralized data store provided complete, real-time reports that ensured full compliance with internal company regulations.
